Set up the whole season at once

Mobile App

Push Notifications
New appointments and reminders arrive on the phone right away, delivered through the app's push service. Optional alerts when team members respond.
Organizers Per Appointment
Every appointment has its own organizers. They edit it, see the responses and comments, schedule attendees and send reminders – without running the whole app. Hand appointment creation to a group of your choice, and whoever creates one becomes its organizer.
Guests Without an Account
Invite people who have no Nextcloud account by typing their email address in the appointment editor. The guest account is created in a single step via the Nextcloud Guests app.
Closing & Response Deadlines
Close an inquiry once planning is done, or set a response deadline after which it closes on its own. Appointments can also be cancelled and reactivated later.
Scheduling
More people said yes than you need? Give a place to the ones you want. Closing the inquiry tells both sides where they stand, whoever was passed over sees the appointment leave their dashboard widget, and the calendar feed picks the status up. Switch it on in the admin settings, or leave it off and never see it.
Talk Room
Saying yes settles attendance, not the details: where to meet, who gives whom a lift, who brings the sheet music. A Talk room opens for exactly the people who are coming, plus the organizers – nobody clicks a group together by hand. Withdraw your yes and you leave the room again, so the final details stay among the people they concern.
Calendar Integration
Subscribe to your appointments in Google Calendar, Apple Calendar or Thunderbird – your response right in the event title. Import events from Nextcloud Calendar, keep them in sync, and let the organization calendar mirror every appointment into one shared Nextcloud calendar for the whole group.
Answers for Others
"I'll be there" said on the phone and never entered in the app? With its own permission, trusted people record – or clear – the answer for someone else, straight from the response summary. The activity history shows who entered it for whom.
Reminders
Automatic reminders for everyone who has not responded, with configurable timing and frequency. Plus manual reminders you can send to individuals or to everyone who answered Maybe.
Activity History
Every response, change, withdrawal and check-in is recorded with who did it, when, and from where – web, email link or mobile app.
Visibility & Permissions
Restrict appointments to specific users, groups or Nextcloud Teams (Circles). Fine-grained permissions control who may create appointments, check people in, and see summaries and comments.
Locations
Give an appointment a place. Type it in once and autocomplete suggests the rooms and venues your group already uses. It travels with calendar sync, and tapping it in the app opens the address in Maps.
Categories
Classify appointments as Rehearsal, Concert, Board meeting or whatever your group needs. Admins manage a fixed list with its own icon per category, and the appointment list filters by it.
